1. Introduction
LOME Apps ("LOME Apps," "we," "us," or "our") provides Fellow: chatbot assistant (the "App") to Shopify merchants. Fellow is an AI assistant that reads and edits a merchant's own store — products, SEO, descriptions, collections, and order summaries — with every change reviewed by the merchant before it is saved. This policy describes how we handle information when a merchant installs or uses the App.
We process information only to provide the App, complete actions requested by merchants, maintain security, and meet legal obligations.
2. Information we process
Store information
We process the store name, domain, identifiers, currency, timezone, plan type, installation status, and the authorization details needed to connect and operate the App.
Products and collections
When a merchant asks the assistant to read or change catalog content, the App processes the product and collection fields needed for that action: titles, descriptions, SEO fields, tags, vendor, product type, status, variants, prices, and image details such as alt text. Changes are saved only after the merchant approves them.
Order information
To answer questions such as "summarize my orders this week," the App reads order records from the last 60 days only: order numbers, dates, financial and fulfillment status, totals, discounts, refunds, and line items (product, quantity, SKU, price). Order summaries are computed for the request and are not kept as a copy of the store's order history.
The App never requests or stores customer personal information: no customer names, email addresses, phone numbers, or shipping or billing addresses, and no payment details. Subscription payments are handled entirely through Shopify.
Conversations and change history
Chat messages the merchant sends and the assistant's replies are stored so conversations persist between visits; merchants can delete any conversation in the App. When the merchant approves a change, the App records the exact previous and new values so the change can be undone for 90 days.
Brand Brain and preferences
Merchants may provide brand facts and style guidance (what the store sells, tone, preferred wording, verified store facts). These are stored to ground the assistant's writing, together with App settings, plan and credit information.
Usage and diagnostics
We process store-level scan summaries (such as the store health score), feature usage events, and limited technical logs needed to operate, improve, and protect the App. Logs are redacted of credentials and tokens.
3. How we use it
We use information to:
- authenticate merchants and operate the App;
- answer the merchant's questions about their own store;
- generate and apply merchant-approved catalog changes;
- keep a change history so approved edits can be undone;
- compute store health scores and improvement suggestions;
- manage plans, credits, and billing state;
- provide support and resolve technical issues; and
- prevent abuse and comply with legal obligations.
We do not sell personal information and we do not use merchant data for advertising.
4. AI processing
Fellow generates answers and storefront copy using a third-party AI provider (OpenAI). To fulfil a request, the App sends the content needed for that request — the merchant's message, the relevant product or collection fields, and the merchant's Brand Brain guidance — to the AI provider, which processes it to produce the response.
- Customer personal information is never sent to the AI provider.
- Generated storefront copy is shown to the merchant as a proposal and saved to the store only after the merchant approves it.
- Content is fact-checked against the merchant's own product data and verified store facts before it is proposed.
- We access AI models through the provider's business API, which per the provider's terms is not used to train their models.
5. Retention and deletion
We retain information only for as long as needed to operate the App and meet security, accounting, or legal obligations.
- Order summaries are computed per request and not retained as copies of order history.
- Unapproved change proposals expire automatically after about 7 days.
- Applied-change history (before/after values) is kept for 90 days to power Undo.
- Store scan summaries and related issues are refreshed regularly; issue details expire after about 14 days.
- Chat conversations persist until the merchant deletes them or App data is deleted.
- Feature usage events are kept for up to 180 days; webhook receipts for up to 30 days.
- Account, settings, subscription, and credit information is retained while needed to provide the App.
Uninstalling the App stops new processing and immediately removes its access to the store. All remaining App data for the store is deleted when Shopify issues its store redaction request following uninstall, and on any valid deletion request, unless the law requires longer retention.
6. Security
We use reasonable administrative, technical, and organizational safeguards to protect information. These include authenticated access, encrypted transmission, restricted and short-lived credentials, tenant isolation between stores, data minimization, and redaction of secrets from logs.
No online service is completely secure. Merchants should protect their Shopify accounts and contact us if they suspect unauthorized activity.
7. Your rights
Depending on your location, you may have rights to request access, correction, deletion, restriction, objection, or portability of personal information. Merchants may uninstall the App at any time or contact us about information connected to their store. We may verify a request before completing it.
The App also honors Shopify's mandatory privacy webhooks automatically: because the App stores no customer personal information, customer data requests and customer redaction requests require no action, and store redaction requests result in deletion of all App data for that store.
Buyers should submit privacy requests through the Shopify merchant with whom they interacted. The App is intended for businesses and is not directed to children.
8. Changes to this policy
We may update this policy as the App or legal requirements change. The latest version will always appear on this page with its updated date. We will provide additional notice for material changes when required.
